1. Introduction
These Terms & Conditions apply to all appointments and services provided by Axis Biomechanics Ltd ("we", "our", "us").
By booking an appointment or attending a consultation, you agree to these Terms & Conditions.
Axis Biomechanics Clinic and Axis Biomechanics are trading names of Axis Biomechanics Ltd. Axis Biomechanics (Harley Street) and Axis Biomechanics (Hatton Garden) are the names used to identify our clinic locations for appointment booking. Throughout these Terms & Conditions, references to "Axis Biomechanics", "Axis Biomechanics Clinic", "Axis Biomechanics (Harley Street)", "Axis Biomechanics (Hatton Garden)", "we", "our" and "us" mean Axis Biomechanics Ltd.
2. Appointments
Appointments may be booked online, by e-mail or by any other method offered by the clinic.
Please ensure that the information you provide is accurate and up to date so that we can contact you if necessary.
Appointment times are reserved exclusively for you. We kindly ask that you arrive a few minutes before your scheduled appointment time.
3. Consultation Fees
Current consultation fees are published on our website and may be updated from time to time.
A booking deposit of £50 is required to secure an online appointment where a booking deposit is applicable. Initial Consultations do not currently require a booking deposit.
Any remaining balance is payable at the time of the appointment using one of the payment methods offered by the clinic.
4. Booking Deposit
Where a booking deposit is applicable, the £50 booking deposit will be deducted from the total cost of your consultation.
Initial Consultations do not currently require a booking deposit.
If we need to cancel your appointment, any booking deposit and any additional payments made will be refunded in full or transferred to a future appointment, according to your preference.
5. Cancellations and Rescheduling
If you need to cancel or reschedule your appointment, we kindly ask that you provide at least 48 hours' notice.
Appointments cancelled or rescheduled with at least 48 hours' notice may have any booking deposit paid transferred to a future appointment or refunded upon request.
If less than 48 hours' notice is provided, any booking deposit paid will normally be retained.
We understand that exceptional circumstances, including sudden illness or family emergencies, can occasionally arise. Where you notify us as soon as reasonably possible, we may, at our sole discretion, transfer any booking deposit paid to a future appointment.
Although every effort is made to keep all scheduled appointments, there may occasionally be unforeseen circumstances requiring the clinic to cancel or reschedule an appointment (for example, illness, travel disruption or other exceptional events). If this happens, we will notify you as soon as reasonably possible and make every reasonable effort to offer the earliest suitable alternative appointment.
If the clinic needs to cancel or reschedule your appointment, any booking deposit or additional payments already received by us will be transferred in full to your rearranged appointment or refunded upon request, regardless of the amount of notice given.
Where a patient has incurred a reasonable and unavoidable expense solely as a direct result of a cancellation by the clinic, we may, at our sole discretion, reimburse such expenses upon receipt of appropriate evidence. Our liability shall be limited to reasonable direct expenses and shall not extend to indirect or consequential losses, including loss of earnings, accommodation costs or other consequential damages.
Our cancellation policy is intended to protect appointment availability and ensure fairness to all patients, as short-notice cancellations often prevent another patient from using that appointment.
Deposits When Rebooking Online
If you cancel an appointment and later make a new booking online, our online booking system may request a new deposit where a booking deposit is applicable to the new appointment type.
Please don't worry; this does not mean your original deposit has been lost. Your original deposit remains safely recorded on your account. Any refund or transfer of your original deposit will be dealt with in accordance with our Cancellation Policy.
If the new appointment is an Initial Consultation, no booking deposit is currently required.
If you would prefer not to pay a second deposit when rebooking online, please e-mail us instead of making a new online booking. If you have already found a suitable appointment online, please include the appointment date and time in your e-mail where possible, and we will reschedule your existing appointment without requiring an additional online deposit.
6. Late Arrival and Missed Appointments
If you arrive late, your consultation may need to be shortened or rescheduled in order to avoid delaying other patients.
If there is insufficient time remaining to provide your consultation safely and appropriately, your appointment may be treated as a missed appointment.
Failure to attend an appointment without prior notice, or arrival so late that the appointment cannot reasonably proceed, will normally be treated as a missed appointment. Where a booking deposit has been paid, the £50 booking deposit will be retained.
7. Patients Under 18
Patients under the age of 18 should normally attend their initial consultation with a parent or legal guardian.
Consent for examination and treatment will be obtained in accordance with applicable law and professional guidance. Where appropriate, young people who are legally able to consent to their own treatment may attend without a parent or guardian.
8. Online Consultations
Online consultations are currently available only for existing patients who have previously attended an in-person consultation.
The suitability of an online consultation will be determined at our discretion.
9. Payment
The remaining balance for your consultation is payable at the time of the appointment using one of the payment methods offered by the clinic.
Where a booking is cancelled with less than 48 hours' notice, or a patient fails to attend, any £50 booking deposit that has been paid will be retained.
Any additional payments will be held as account credit for a future appointment. If you decide not to rebook, you may request a refund of the additional amount.
Any account credit should be used within 12 months of the original appointment date, after which it will expire. If you do not intend to rebook, any request for a refund of the additional amount should also be made within 12 months of the original appointment date.
Nothing in these Terms & Conditions affects your statutory rights.
10. Privacy
Your personal information will be collected, stored and processed in accordance with our Privacy Policy.
Our Privacy Policy is available on our website.
11. Changes to These Terms
We may update these Terms & Conditions from time to time.
The most recent version will always be available on our website.
